Harborline Facilities — Customer Portal & Ops Dashboard
A business operations system concept for a commercial facilities company: clients raise and track work through a secure portal while the office runs the same jobs from one dashboard.
The business problem
Service operations of this size usually run on shared inboxes, spreadsheets and text messages. Nobody can answer "what is the status of my request" without asking three people, and the office re-types the same job into scheduling, reporting and invoicing.
Target customer
Property managers and facilities coordinators who raise recurring work, plus the operations manager, dispatcher and technicians who deliver it.
Before / after reasoning
The “before” column describes the typical situation for this kind of business. The “after” column describes the design decisions made in this concept and why.
Typical before
- Requests arriving by email, phone and text with no single reference number
- Status updates given verbally, so clients call the account manager for progress
- Photos and sign-offs sitting on technicians' phones
- Certificates, schedules and approvals tracked in a spreadsheet
In this concept
- One work-order record per job, visible to the client and the office
- Client-facing statuses that update as the office moves the job along
- Documents uploaded, versioned and approved inside the portal
- Completion triggering an approval request and an invoice draft automatically

Lead-generation strategy
- The portal is the retention product: clients who log in weekly renew contracts more readily
- A public request page can be linked from the marketing site so new enquiries enter the same queue
- Approval and completion emails carry the company brand and a link back into the portal
- Usage reporting gives the sales team a reason for a quarterly account conversation
Features built
- Secure sign-in with client, technician and administrator roles
- Customer portal: request submission, status tracking, schedule and documents
- Operations dashboard with KPIs, work-order queue and assignment
- File and photo uploads attached to each work order
- Approval workflow with branded email notifications
- Activity history for every record
- Reports and CSV export
- Responsive layouts for desktop, tablet and phone browsers

Measured 5 September 2026. Google Lighthouse 12, desktop preset, run against the live published concept page on this site. Scores vary with network conditions and are re-checked when a concept changes.
This concept was measured on the pre-publish build of the page rather than the published version, so the performance figure is conservative — the same page scores materially higher once published and cached. It is re-measured after publication.
What is a concept versus a real result
Concept — invented for demonstration
- Harborline Facilities is an invented company; every client, technician, work order and document shown is sample data.
- The demo screens are static — nothing saves, sends an email or changes a database.
- No client commissioned this system; it was designed in-house to show how we structure a portal and dashboard.
Real — verifiable on this page
- The screens are real, published and responsive — you are viewing the actual interface code, not a picture of a design.
- The performance, accessibility, best-practices and SEO scores are real Lighthouse measurements of that live page.
- The role model, work-order structure, approval workflow and notification pattern are what we build in a Business Operations System engagement.
ProHub360 does not publish client conversion figures or revenue claims from these concepts. When we complete client projects and receive permission to share the results, they will be published separately and clearly labelled as client work.
